Look at the handoffs
A customer submits an enquiry. Someone copies it into a spreadsheet, assigns it through a message, prepares a quotation and follows up later. Each step may seem manageable in isolation. Together, they can create delays and unclear ownership.
Follow one real example
Trace one enquiry, order, approval or document from arrival to completion. Record who touches it, which systems hold the information, where it waits and what happens when something is missing.
Improve the process before automating it
Remove unnecessary steps, define a responsible owner and agree what information each handoff needs. Then consider configuration, integrations or automation. Carrying a confusing process into new software can preserve the same confusion.
Measure the result in daily work
Track turnaround time, staff effort, rework and overdue items. Include the effort required to maintain the new workflow. The goal is a process the team can run consistently as the business grows.
